Position Description

Role & Responsibilities

As part of the proposal team, the Proposal Specialist role requires a combination of project management, writing/editing, strategy, and attention to detail. This role plays a key part in a larger, collaborative Marketing Department. The Proposal Specialist must be dependable, enjoy working with teams and sharing ideas, and also be independent and self-motivated.

  1. Assume a lead role in preparation of RFI/RFP responses ranging from standard qualifications to moderately complex proposals
  2. Manage life-cycle of RFI/RFP submissions from concept to completion, while maintaining RFI/RFP compliance and ensuring accuracy
  3. Coordination with the identified internal proposal review team to review drafts and ensure accuracy
  4. Interpreting, editing, and integrating contributors’ feedback into the proposal submission
  5. Communication of project progress to the internal proposal review team
  6. Coordination of deadlines with multiple teams (Sales, Technical, Services, Legal)
  7. Ongoing maintenance of library of boiler plate information, technical content, and supporting graphics
  8. Maintaining brand integrity and quality control
  9. Takes initiative and develops creative ideas to ensure alignment between the proposal, the sales strategy, and company direction
     

Requirements

  • Bachelor’s Degree, preferably in English, Marketing, or a writing intensive major
  • 2-3 years of relevant experience in Marketing and proposal coordination
  • Excellent time management, organizational, and project prioritization skills
  • Passionate approach to projects with a willingness to learn, collaborate, and take initiative
  • Strong writing, editing, and proofreading skills
  • Ability to focus on technical content and maintain accuracy
  • Thrives in deadline-driven environment

  • Experience using a wide range of software (Microsoft Office Suite, Qvidian, WebEx, etc.)
